Any travel products or services that are purchased from UTOvacation contains a contractual agreement between you/the traveler and UTOvacation and indicates that you have agreed to UTOvacation Terms and Conditions. Please ensure that you have read carefully the UTOvacation terms and conditions (which are available on www.utovacation.com) before making any payment.

1.0 Cancellation policy

UTOvacation reserves the right to cancel or modify any tour prior to departure date if the group has less than 10 passengers. Alternative departure date will be offered for no extra charge or a full refund will be issued

All cancellation or change requests must be confirmed in writing via email or fax including your reservation number, full name, and date of travel.

Any cancellation of issued flight tickets prior to outbound departure (all the segments are unused) at the originally issued location shall incur a penalty of CAD/USD 350.00 per ticket. No refund will occur once travel has commenced.

Cancellation terms will be applied based on the date that the written cancellation is received and based on the following dates prior to departure.

1.1 Cancellation Fees, except where specified:

Module A: USCPB10/CPB10 – China Price Buster 10 days US and Canada departure (Yangtze River Cruise/Xian Extension included)

Module C: For all cruise bookings(The following penalty policy applies to all reservations, except where specified)

1.2 Forfeiture

No refund or reimbursement will be available on any voluntary forfeiture of tours and/or accommodations. A surcharge may apply should there be any additional fees occurred from any forfeiture decision made by a passenger. i.e. Since air tickets, transportation, accommodations, and meals have to be arranged in advance during high season (i.e. Holidays, Special Events, and other important activities and conventions), no departure dates may be altered. No refund will be available on departure date changing and/or booking cancellation.

2.0 Reservation changes

Changes to an existing reservation, whatever the cause, will incur a $100/USD or CAD per person charge plus any additional supplier fees. This includes name changes* and removal of any services such as optional tours and transfers.

*Please note that name changes to airline reservations are subject to full cancellation and re-booking fees. Please refer to the airline name changes section for specific details.  Replacing a traveling passenger with another traveling passenger constitutes a cancellation, subject to cancellation penalties, and is not covered by this reservation change policy. Changes or additions after departure are subject to local rates at the time of amendment and must be paid directly by the passenger to the service provider. There are no refunds for unused services. 

2.1 No Show

If for any reason, a passenger does not attend the scheduled daily activities during the tour, an additional supplement fee of 100/USD or CAD per person per day will be charged. (Only applicable for China Tours)

3.0 Retail Experience

UTOvacation is not be responsible for price, quality, and service of any goods purchased during the tour. Items purchased during any guided tour are provided by the local vendors and not affiliated with UTOvacation. 

4.0 Surcharge

After the booking is confirmed, if the price increased following the application of a surcharge on fuel by the carrier or an increase in the exchange rate, insofar as the exchange rate applicable before the date on which the services are provided has increased by more than 5% since the date on which the contract was entered into; and/or if the increase, without taking into account any increase in the provincial sales tax or Canada's goods and services tax, raising taxes, royalties or reauthorized charges by a competent public authority, is equal to or greater than 7% of the price of services, you may choose between a full and immediate reimbursement of the services or the provision of similar services.

2.0 Online Reservation

A Non-refundable, non-transferable deposit is required to secure a travel date.  Please note, full payment is required when booking special on-sale products (check the product page for full description)

2.1 Reservations Procedures

Step 2 Login or Register a new account.

Step 3 Select your desired departure date and departure city

Step 4 Make a deposit online, for exact deposit amount please refer to tour package online.

Step 5 Secure a valid VISA

Step 6 Make secondary deposit payment (if required) and/or final payment

(currency fluctuations may be applied)

3.0 Deposits

Initial deposit required at the time of booking. In addition, some products may require a second deposit before final payment. Please review carefully your product pages for your reference. Deposits are non-refundable. (currency fluctuations may be applied)

3.1 Late Payment

If there is any outstanding balance by the Final Payment Due date listed on your invoice, all travel services may be subject to automatic cancellation. A service reinstatement fee of $50 will be added to your invoice and must be paid in advance in order to apply for reconfirmation of services.

4.0 Finalization of the booking

Balance payment of any regular products or services is due 150 days prior to departure date unless specified. If the full payment is not obtained by the due date, UTOvacation reserves the right to cancel such reservation and retain the pre-paid deposit to cover any expenses incurred.  (currency fluctuations may be applied)

4.1 Visa Documentation

Travelers are responsible for securing their own VISA prior to the departure date. You may either employ UTOvacation to assist with the acquisition of a valid VISA, or you may get a VISA yourself. 

5.0 Trip Confirmation

A final trip confirmation by email including day by day itinerary, hotel information, and flight information will be sent to the main contact passenger one month before the departure date.

6.0 Airline Details

UTOvacation provides a variety of airfares from different airlines for your convenience.  Tickets are issued 1 month prior to the departure date. UTOvacation is not responsible for the services and policies imposed by the airline. Airline schedules and flights are subject to change without notice. UTOvacation is not responsible for penalties incurred for tickets, international or domestic, not issued by UTOvacation. UTOvacation reserves the right to rebook any travel itinerary as required. 

6.1 Airline Contact Information

Passengers are responsible to provide UTOvacation with their full name as it appears on their passport (or other government-issued I.D. when traveling), date of birth, gender, address, phone number, email and fax data for all passengers. Passengers must ensure that names are correctly listed on their invoice. UTOvacation will not be responsible for passengers who do not receive an invoice or documents or are denied boarding due to inaccurate information.

6.1  Airline Name Changes 

Any name adjustments including minor spelling corrections may require airline reservations to be canceled or rebooked. Reservations are subject to current availability and pricing at the time of rebooking. Once airline tickets are issued, subsequent name corrections will be subject to an airline rebooking fee which may be as much as the full value of the airline ticket plus a $100 revision fee per change. UTOvacation will not be held responsible for the denial of services by a carrier due to any name inaccuracies.

6.2 Airline Tickets

Once full payment is received, UTOvacation airline tickets will be issued 30 days prior to departure and are fully non-refundable. Once issued, some Published Instant Purchase Airfare tickets may be changed prior to the departure date and the airfare applied toward travel within 12 months of the original date of issue for a fee of $200 or more plus any difference in airfare; however, some tickets are non-changeable; specific fees and policies may vary by airline. Please note that some airlines do not accept all major credit cards for payment of Published Instant Purchase Airfare.

6.3 Airline Schedule Changes

If a schedule change occurs UTOvacation will make every effort to inform passengers of the schedule change and new flight schedule prior to departure. UTOvacation is not responsible for schedule changes including, when applicable, changes in routing and/or the number of stops in the itinerary. UTOvacation is unable to provide any refund or compensation for schedule changes, seat assignment modifications, or cancellations implemented by an airline

6.4 Airline Baggage

UTOvacation is not responsible for the safekeeping or securing of any baggage during the flight or ground tours. Travelers are responsible to ensure their baggage adheres to the pre-specified requirements of the designated airlines.  Checked bags are typically limited to a total dimension of 62 inches by adding length + width + height (example: 26"+26"+10" = 62”), and a maximum weight of 50 lbs (23kg). UTOvacation is not responsible for checked bag fees, excess luggage or weight charges levied by an airline

7.0 Hotel Accommodations

All travel with UTOvacation is based on double occupancy rules. A single occupancy surcharge will be applicable to travelers traveling on their own.  Triple room occupancy is based on two single beds with a sofa/folding bed or cot. Special requests such as bed types, smoking preference, and connecting rooms are subject to availability. Hotel check-in time is approximately not before 4:00 p.m. and check-out time is prior to noon. Please be sure that adequate arrangements for accommodations have been taken into consideration when a late night flight is being used.  UTOvacation reserves the right to make substitutions with hotels of equal standard. There will be no refunds for any difference in the cost of those accommodations.

8.0 Meals

Meals are defined specifically for each itinerary.  Typically for most tours, unless specified will include a breakfast at the hotel. Optional meal packages are available upon requests. Any specific dietary requests should be made directly to the Hotel staff. 

9.0  Transfers

Transfers are provided as indicated for each tour by car, minibus, or motor coach provided airfare is purchased from UTOvacation. If you purchase a land-only tour, or if you deviate from the arrival and/or departure dates as stated in the itinerary, you will have the option to add transfer services to your reservation. Your arrival transfer is guaranteed for up to one hour from your scheduled arrival time in order to compensate for minor delays. UTOvacation or the transfer company will not be responsible for flight delays, for any reason, beyond one hour from your originally scheduled arrival time. In case of a delay, whether due to a flight delay, immigration and customs, or time spent reporting baggage damage or loss, it will be your responsibility to make other transfer arrangements such as a taxi. Transfer costs are not refundable and any additional expenses will be your responsibility. 

10.0 Guided Tours

Guided or Escorted tours are operated typically by bus, the size is normally dictated by the number of participants. The number of participants may vary during the tour. The times and schedules as listed on the itineraries are approximate and meant only as guidelines. It is the travelers' responsibility to arrive on time for all scheduled flights, cruises, and package components. Arriving late may be considered a “skip”, in which case you will not be eligible for a refund for the unused service(s).  Please note, certain components of the trip are considered mandatory, and if a traveler does “skip” these mandatory events, a fine of $100 is applicable. 

10.1 Holidays/Construction

Please note, dependant on the destination, certain religious or national holidays or seasonal construction may result in a specific attraction to be closed. UTOvacation will make its best effort to ensure proper planning is implemented to avoid such complications.  UTOvacation reserves the right to provide alternate and amend arrangements.

10.2 English Language

All guided tours are conducted in English. UTOvacation makes its best effort to ensure all tour guides are fluent in English. Additional languages may be offered but cannot be guaranteed. 

11.0 Optional Sightseeing Tours

During your guided tour, a series of additional tours are available for purchase. These tours are available for purchase at any time. Please note, additional tours are subject to availability and require a set number of participants. Should an optional tour not reach the minimum number of participants a refund will be provided. 

Traveler Conduct Policy: To ensure the safety and enjoyable experience of all its clients.  UTOvacation reserves the right to reject or expel any individual who is deemed disruptive or violent including individuals who are intoxicated and/or under the influence of drugs. Expenses, including cancellation fees and/or costs for alternate travel plans or to return, are the responsibility of the disruptive individual. All unused services are non-refundable.
